This policy applies to all services provided by Adxania, including but not limited to IT consulting, cybersecurity, software development, managed services, and other related offerings. Our aim is to be transparent with our clients regarding cancellations and refunds, ensuring a clear understanding of our practices.
2. Service-Specific Cancellation Policies
2.1 IT Consulting & Advisory Services
- Cancellation Before Service Commencement: If you wish to cancel your IT consulting or advisory services before the commencement of the project, you must notify us at least 20 business days before the scheduled start date. In such cases, a full refund of any advance payment will be issued, minus any non-refundable fees (e.g., consultation fees, administrative charges).
- Cancellation After Service Commencement: If the service has already commenced, you may still request a cancellation. However, you will be responsible for payment for the work completed up to the date of cancellation. Any remaining balance of the advance payment will be refunded.
2.2 Cybersecurity Services
- Subscription-Based Services: For subscription-based cybersecurity services, such as ongoing monitoring or managed security services, you may cancel your subscription at any time. The cancellation will take effect at the end of the current billing cycle. No refunds will be issued for the unused portion of the subscription term.
- Project-Based Services: For project-based cybersecurity services, cancellations must be made at least 20 business days prior to the scheduled start date. If cancellation occurs after the project has started, a partial refund may be issued, depending on the work completed.
2.3 Software Development Services
- Pre-Development Cancellation: If you cancel your software development project before the development work begins, a full refund will be issued, minus any non-refundable fees associated with project planning, documentation, or initial consultations.
- Cancellation During Development: If you cancel the project during the development phase, you will be charged for the work completed up to the date of cancellation. A detailed breakdown of the work completed will be provided, and any remaining balance from your payment will be refunded.
- Post-Delivery Cancellation: Once the final product has been delivered and accepted, no cancellations or refunds will be entertained.
2.4 Managed Services
- Cancellation of Ongoing Managed Services: You may cancel ongoing managed services by providing written notice at least 20 days before the next billing cycle. The cancellation will be effective at the end of the current billing period. No refunds will be issued for services already rendered.
- Early Termination of Contracts: If you have signed a contract for a fixed term, early termination fees may apply if you choose to cancel before the contract period ends. These fees will be outlined in the service agreement.
3. Refund Process
3.1 Eligibility for Refund
Refund eligibility depends on the nature of the service and the timing of the cancellation request. Refunds will be processed based on the specific conditions outlined in the section “Service-Specific Cancellation Policies.”

3.3 Processing Time
Approved refunds will be processed within 30 business days of approval. Refunds will be credited to the original payment method used at the time of purchase. Please note that it may take additional time for the funds to reflect in your account, depending on your financial institution’s processing times.
3.4 Non-Refundable Fees
Certain fees are non-refundable, including but not limited to:
- Initial consultation fees.
- Administrative fees.
- Customization or personalization fees.
- Third-party service costs that have already been incurred.
4. Exceptions and Special Cases
4.1 Force Majeure
No refunds will be issued for delays, cancellations, or modifications of services due to events beyond our control, such as natural disasters, government actions, or other unforeseen circumstances that prevent us from fulfilling our contractual obligations.
4.2 Disputed Charges
If you believe you have been charged incorrectly, please contact our customer support team within 7 days of the charge appearing on your account. We will investigate the issue and, if necessary, issue a refund for the disputed amount.
